1. Two kinds of data

Revio handles two categories, and the distinction matters throughout this policy.

Account data. Information about you as a customer. Name, work email, company, billing details, and how you use the product.
Prospect data. Information about the businesses your agent works. Company details, publicly available contact information, message history, call recordings, and transcripts. This is your data. We process it on your instruction as your processor.

2. What we collect and why

To run the service. Prospect research, message content, delivery and engagement events, call audio and transcripts. Without these the product cannot function.
To bill you. Plan, usage counts, and payment method, which is held by our payment processor rather than by us.
To keep the service safe. Audit logs, IP addresses, and rate limit counters.
To improve the product. Aggregate performance statistics, for example that question style subject lines lift replies in a given industry. These are derived numbers only.

3. What we do not do

We do not sell personal data. There is no version of this where we do.
We do not use the content of your messages, prospects, or recordings to train models that serve other customers.
Cross account learning, where it is enabled at all, operates on aggregated statistics that cannot be traced back to an account, a prospect, or a message. It is off unless you opt in.

4. Call recordings

Calls placed by your agent are recorded and transcribed so the system can summarise them and so you can audit what was said. Recordings are encrypted at rest, retained for a window you configure, and deleted along with the prospect record when you delete it. Recording laws vary by state and country, and you are responsible for the disclosure requirements that apply where you are calling.

5. Subprocessors

We use a small number of vendors to operate the service: cloud hosting and database, telephony, speech recognition and synthesis, language model providers, email delivery, authentication, and payment processing. Each is bound by contract to handle data only as instructed. The current list is available on request and Enterprise customers are notified of changes in advance.

6. Retention

Account data is retained while your account is active and for a short period afterwards for accounting purposes. Prospect data, recordings, and transcripts follow the retention window you set. Audit records are kept longer because their value is that they cannot be altered.

7. Your rights

You can export all of your data at any time from the dashboard. You can delete individual prospects, which removes their associated messages and media, or close your account, which removes everything except records we are required to keep. If you are covered by GDPR or CCPA you have additional rights of access, correction, and erasure, which you can exercise by writing to privacy@revio.ai.

8. Prospects asking about their data

If a business your agent contacted asks who holds their information, the answer is you. We will route the request to you and assist with fulfilling it. Any opt out we receive is applied immediately and permanently across every channel, without waiting for instruction.

9. Security

Encryption in transit and at rest, database enforced tenant isolation, role based access, and immutable audit logging. The current state, including what we have not done yet, is on our security page.
